Tracking Special Services and One-Time Events

Church Metrics isn’t limited to just recurring Sunday and weekly services. You can also track your one-time services and limited time events, such as Christmas Eve and Good Friday to limited time Bible studies, conferences or church camps.


Why Use Events?

Events are designed specifically for services or activities that:

  • Don’t follow your regular weekly or monthly schedule

  • Need to be tracked separately from your normal services

  • Only happen once or for a short period (e.g., Easter weekend, summer camp, youth night)

If you have a monthly recurring event, such as a once-a-month youth night, or bi-monthly Bible study, it may be easier to set this up using regular service times and then ignore the input when not needed.

If your event is only for a few months out of the year, such as a limited time Bible study, an event setup with a longer time frame would be useful here. You do not need to create an event for every date, you can

Events are better used for for those one a year events, such as holiday services, or multi-day special events, such as church camps or conferences.


How to Create and Track an Event

Step 1: Create the Event

  1. From the profile dropdown (top right), select Admin.

  2. In the left-hand navigation, click Events.

  3. Click Create Event.

  4. Enter the event name (e.g., “Easter 2024,” “Christmas Eve,” “Summer Camp”) and click Save.


Step 2: Add Event Service Times

Creating the Event sets up the container, but you must add Event Service Times so the system knows where to store your data.

  1. In Admin, go to Service Times.

  2. Select the Event Service Times tab.

  3. Create a new service time just like a regular one — choose the campus, day of week, start/end times, etc.

  4. Assign the service time to your Event by selecting it from the Event dropdown.

  5. Set the appropriate Start and End dates:

    • Single-day events → one date

    • Multi-day/recurring events → date range

  6. (Optional) If the service is also part of your normal weekend schedule, check the box to Include in regular reports?

    • ✅ Checked: The Event service time will appear in dashboards, reports, and charts along with your regular weekend data.

    • ❌ Unchecked: The Event will remain standalone and only appear when specifically selected.

⚠️ Important: If you want the Event included in regular reports, you must check this box at creation time. Changing it later after entering data will not retroactively include it.


Step 3: Enter Data for the Event

  1. Go to the Input tab.

  2. Use the dropdown to select your Location, Week Of date and you will see your special created event among the rest of the service times.

  3. Enter your attendance, giving, salvations, volunteers, or other category data just as you would any other service.

    1. All current categories will still be visible. You only need to fill in the fields relevant to your event.

  4. Click Save.


Tips & Troubleshooting FAQ

  • Can I track multi-day events (like summer camp)?


    Yes — create the Event (e.g., “Summer Camp 2024”) and add a separate Event Service Time for each day/session.

  • Why don’t I see my Event in Input?

    You likely haven’t created Event Service Times. Add them under Admin → Service Times → Event Service Times.

  • What if I put numbers under “Other” by mistake?


    Re-enter the data under the correct Event Service Time, then delete the duplicate "Other" entry.

  • Do Events show up every week?


    No — they only appear for the specific dates you configure. For recurring weekly activities (like a weekly youth night), use a regular Service Time instead.

  • Why is a past Event showing up in Input this week?

    Active service times remain visible until removed. If you don’t want a past Event lingering:

    • Remove the Event Service Time after entering the data (this won’t delete historical entries).

    • Or rename it to something like “Good Friday 2024 (Archived).”


Pro Tip:
Use Events for one-time or seasonal services to keep your dashboards and reports clean, while still capturing the special data you need.
