Mid-Week Service Times and Recurring Events

Change the default settings affecting service dates and times

In Church Metrics, all categories are grouped by week in relation to Sunday. When recording data for weekday services you may add that data to the current week or to an upcoming week. By default, Church Metrics will associate your weekday services with the Sunday that is coming up. For example, if you create a Wednesday service by default it will be the first day of the week and tied to the Sunday that is coming up.

If you prefer, you can edit this:

  1. Click Admin.

  2. Click Service Times.

  3. Click Change on the service time you want to update.

  4. Select the correct correlation "Upcoming" or "Previous."

  5. Click Save.


Setting Up Midweek Gatherings and Recurring Events in Church Metrics

Church Metrics makes it easy to track attendance and other data for ongoing midweek gatherings (e.g., Monday–Thursday groups, Bible studies, or classes). These are best set up as recurring service times, rather than one-time events, since they happen regularly throughout the year.

Why Use Service Times Instead of Events

  • Service Times → Designed for recurring gatherings (weekly services, classes, or midweek ministries).

  • Events → Best for one-time or short-term gatherings (like Christmas Eve or a conference).

If your midweek groups are ongoing, use Service Times so they’re automatically included in your weekly reports.

How to Create Midweek Service Times

  1. Go to Admin → Service Times.

  2. Click Add Service Time and enter the correct day and time for the group.

  3. Decide how to group it for reporting:

    • Group with the previous week → Example: A Tuesday service on Feb 18 will be included in the week of Sunday, Feb 16.

    • Group with the upcoming week → The same Tuesday service will be included with the week of Sunday, Feb 23.

  4. Save your changes.

👉 Choose the grouping that best matches how you want attendance and metrics displayed in your reports.

Naming Service Times for Staff Clarity

At present, service times can only be identified by day and time (e.g., “Tuesday, 7:00 PM”). You can’t assign custom names like Young Adults or Leadership Class.

Best Practices

  • Use Service Times for ongoing gatherings, Events for one-time services.

  • Communicate clearly with staff about which service times represent which ministries.

  • Review your report grouping to ensure weekly totals include your midweek data the way you expect.

✅ With these steps, your midweek groups and recurring services will be accurately tracked, reported, and included in your church’s overall data.


Can I Set a Service Time to Occur Every Two Weeks?

Currently, Church Metrics assumes that all service times occur weekly. There is no option to set a service time with a bi-weekly (every two weeks) frequency. As a result, charts and reports will show zeros for the weeks when the service does not take place.


Tracking Services That Happen Only on Certain Weeks

Church Metrics does not allow you to make a service time that’s specific to only certain weeks (e.g., “2nd Wednesday of the month”). However, there are a couple of ways you can work around this depending on your tracking needs.

Option 1: Separate Campuses (Best for complex tracking)

  • Create a campus specifically for each unique service type (e.g., Motion Night Campus, Midweek Campus).

  • Only enter data in that campus for the weeks when the service occurs.

  • This allows you to track multiple metrics (attendance, giving, volunteers, etc.) separately.

Option 2: Separate Categories (Best for simple attendance)

  • Keep one regular Wednesday Service Time.

  • Create unique categories for each service type:

    • Attendance – Motion Night (for 2nd Wednesdays)

    • Attendance – Midweek (for 3rd, 4th, 5th Wednesdays)

  • Enter data in the appropriate category for that week.

Tip: If you run reports, filtering by campus or category will give you totals just for that service type.
