Church Metrics allows you to input and edit attendance and contribution numbers for both current and past dates, but whether you can do so depends on your role permissions and how you access the Input tab.
Why Do I See a Lock Icon on Past Service Dates?
If you see a lock icon next to past service times in the Input tab (on the web or mobile app), it means your account permissions don’t allow you to view or edit data for past weeks.
Why This Happens
In Church Metrics, the Staff role can only enter and view data for services during the same week the service took place.
Once the week has passed, the service time is locked for Staff users, which prevents access to historical data.
How to Unlock Past Dates
To view or edit past services, your role needs to include the Input Data Any Time permission — this is available to Admin users.
Here’s how to update your role:
Have an Admin in your account log in.
Go to Users in the left navigation menu.
Find your name in the list and click Edit.
Change your role from Staff to role that includes “Input Data Any Time”, such as Admin, or a custom role.
Save the changes and log out, then log back in.
Tip: If you have multiple Church Metrics accounts, make sure you’re logged into the correct account where the data is stored. The lock will still appear if you’re in the wrong account.
Unable to Save Updated Numbers
If the Save button is grayed out after entering numbers:
Check your role permissions: Staff users can only edit data for the current week. To update past weeks, you’ll need the Input Data Any Time permission (available to Editors and Admins).
Confirm you changed a value: Re-enter the number manually to trigger the Save button.
Use plain numbers: Do not use
$1,500.00
or commas — enter1500
.Clear browser cache if the button still won’t activate.
Unable to See Older Dates in Input Tab
Mobile app limitation: The app only shows this week and last week.
Desktop access: Log in via desktop, go to Input → Week of… and scroll back to any date (as far as your account has service times).
Service times check: You can only enter data for dates that match existing service times. If a service time didn’t exist, create one under Admin → Campuses → Service Times.
Correcting or Updating Past Numbers
To edit incorrect data from a past week:
Option 1: Request permission
Ask an Admin to grant you the Input Data Any Time permission so you can correct it.Option 2: Admin makes corrections

If you don’t know who your Admin is, contact support and we can let you know who that is in your organization.
Adding Numbers for Older Dates
Use the desktop Input tab and scroll back via the calendar.
For large backlogs of data, use the Data Import tool with a properly formatted CSV template instead of entering week by week.
