Understanding and Managing Admin Access

Admin access in Church Metrics controls who can manage users, service times, campuses, categories, and other key settings. If you’ve lost Admin status, can’t see the Admin menu, or need to transfer administrative responsibilities, this article explains why it happens and how to fix it.


🔎 Why You Might Lose Admin Access

There are several reasons you might no longer see Admin options in your account:

  1. Role Changed by Another Admin

    • Your role may have been updated to Staff or another role with fewer permissions.

    • Only Admin users can make these changes.

  2. The “Manage Organization Settings” Permission Was Removed

    • Even if your role is labeled Admin, removing this specific permission will lock you out of the Admin panel.

    • Without it, you cannot manage campuses, service times, categories, or user roles.

  3. No Active Admins Remain

    • If the original Admin left your organization and no one else was set up as Admin, the account may appear locked down.

  4. Temporary Display Issue

    • Sometimes the Admin option doesn’t appear right away in your profile menu due to a page load error.

    • Refreshing or reloading the page often resolves this.


Receiving 500 server error when trying to access admin page

An internal issue due to an outdated security token will usually cause this issue.

✅ How to Regain or Transfer Admin Access

Step 1: Check for Current Admins

  • Go to Admin → Users (if available).

  • Look for which team members are labeled as Admins.

  • Contact one of them and request they update your role.

Step 2: Restore Permissions

If your Admin role is missing the Manage Organization Settings permission:

  • Ask another Admin to edit your role and re-enable this permission.

  • Best practice: always keep at least one Admin role with this permission to avoid lockouts.

Step 3: If No Admins Are Left

If your church has no active Admins:

  • Contact Church Metrics Support with:

    • Your church name

    • The email of the former Admin

    • The email of the new Admin

  • Support will verify and help restore access.

Step 4: Fix Display Issues

If you know you should have Admin access but don’t see the menu:

  • Refresh the page.

  • Log out and back in.

  • Make sure you’re logged into the correct account.


👥 Church Metrics Roles & Permissions Reference

Roles determine what each user can do:

  • Admin

    • Full access, including API, reports, charts, and organization settings.

  • Staff

    • Can input data during the service week, run reports, and view charts.

  • Volunteer

    • Can input data only on the service date and view basic charts.

  • Viewer

    • Read-only access to reports and charts (no editing).

🔑 Special Access: All Campus Access

  • Can be added to any role for visibility and editing rights across all campuses.

Only an Admin can:

  • Assign roles

  • Modify permissions

  • Add All Campus Access

⚠️ Important Notes

  • Support cannot directly promote users to Admin unless no active Admins remain.

  • Always ensure at least two trusted team members retain Admin rights for ss they need.
