Users & Roles FAQ

Updated this week

🚫 Error: “404 Page” or Unable to Add User

Why This Happens

  • Campus Not Assigned – All new users must be assigned to at least one campus during setup. If you leave this field blank, the system will prevent you from adding the user.

  • Browser Cache Issue – Cached data in your browser can sometimes cause a 404 error page to appear.

How to Fix It

  1. Go to Admin → Users → Add User.

  2. Enter the user’s Name, Email, and Role.

  3. Select at least one Campus from the dropdown menu.

    • If the role includes View & Input Data For All Campuses (e.g., Admin or Staff), the user will still be able to access all campuses even if they’re officially tied to just one.

  4. Click Save to send the invitation.

If you still see a 404 error:

  • Clear your browser cache and restart your browser.

  • Try again using Chrome, Edge, or Firefox.

  • Double-check that your account has Admin permissions.

📧 Error: “Email Already in Use” When Changing Account Email

Why This Happens

Each email address can only be tied to one Church Metrics profile. If the new email is already linked to another user, you’ll see this error.

Workaround to Change Your Email

  1. Go to Admin → Users → Add User.

  2. Enter the new email address.

  3. Assign it the correct Role (e.g., Admin).

  4. Have the new email accept the invitation.

  5. Once confirmed:

    • Remove the old email under Admin → Users, or

    • Keep both so either email can sign in.

This method also works if you’re:

  • Transferring ownership of an account.

  • Reusing an email address for a new person.

Tips for Smooth User Setup

  • Always assign at least one campus when creating a user.

  • Review roles and permissions before inviting new users to ensure the right level of access.

Unable to Log In – Email Not Found in Church Metrics

If you can’t log in and receive no password reset email, one possible reason is that the email address you are using is not currently attached to any Church Metrics account.

  1. Confirm the Email Address

    • Make sure you are using the exact email tied to your Church Metrics account.

    • If unsure, check with another admin on your team — they can verify your account email under Admin → Users.

  2. Try Another Email Address

    • If you have multiple email accounts, try logging in with a different one that may have been used to set up your profile.

  3. Contact Support

    • Provide Support with:

      • The email(s) you think may be linked to your account

      • The name of your church

      • The name and email of another user on your account (if possible)

Changing the Main Account Owner in Church Metrics

If the current account owner is leaving the organization, ownership can be transferred to another Admin in your account.

How Ownership Changes Work

  • Only Church Metrics Support can transfer account ownership.

  • The new owner must already be an Admin-level user in your account.

  • The request must come from the current owner or a verified admin contact.

Steps to Request a Change

  1. Identify the new owner (must have Admin permissions).

  2. Contact Church Metrics Support with:

    • The current owner’s name and email

    • The new owner’s name and email

  3. Support will process the change and confirm when complete.

Example:

“Please update our account so that Steven Warner (steven.finance@example.com) is the new account owner. I am the current owner and approve this change.”

Tip: After ownership is transferred, the new owner should verify their profile settings (time zone, contact email, notification preferences) to ensure smooth account management.

👤 How to Change or Add an Admin

Church Metrics allows you to have multiple admins managing your account. To change or add an admin:

  1. Log in to your Church Metrics account.

  2. Click on the gear icon ⚙️ in the top-right corner.

  3. Go to the Users tab.

  4. Click "Add User" and enter the new person's email address.

  5. Set their role as Admin from the dropdown list.

  6. Click "Send Invite."

The new admin will receive an email to set up their access.

Note: If you're trying to remove a current admin, you’ll need to be an admin yourself to make that change.

Issue Sending User Invitations

If you encounter an error sending invitations, ensure you have:

  • Selected a campus for the new user (this is required).

  • If the user needs access to multiple campuses, assign them the “View & Input Data For All Campuses” permission.

Adding Users Across Multiple Campuses and Setting Up Monthly Attendance Reports

In Church Metrics, each user account is associated with a single campus. However, if you want a user to manage or input data across multiple campuses, you can do so by assigning them a role that includes the “View & Input Data For All Campuses” permission. This allows the user to access and work with data from all campuses without needing separate accounts.
